Automated Document Workflows
An engagement letter goes out as an attachment, comes back marked up, and the approval sits in an email thread nobody can find later.
SyncDoc will transform your document lifecycle with powerful automation. Build a template once and reuse it for every document, send it to your client with maker-checker at every level, and when both sides agree it goes for signature. This module is on our roadmap — contact us to register your interest.

Build the template once
Create it once and reuse it for every document, for every client.
Maker-checker at every level
Nothing moves without review — the approval chain is part of the document, not an email thread.
Signature when both sides agree
Once reviewed and agreed, the document goes for signature with status tracked throughout.
Write the wording once. Answer the blanks each time.
A template is not a file someone copies and edits. It carries its blanks as questions, and a document is that template with the questions answered — so the clause your firm agreed is the clause every client gets.

The same six states for a template and for a document. One that needs changing goes back to Modify rather than being replaced, and one that is turned down is marked Rejected rather than deleted.
Your documents are written here, not pasted in
The wording lives in the product rather than in a file on somebody's laptop — with the structure, formatting and tables a real agreement needs, and the questions dropped in where the blanks belong.
Headings and structure
Sections and sub-sections, so a long agreement stays navigable rather than becoming one wall of text.
Real formatting
Bold, italic, underline and strikethrough where a clause needs emphasis — and inline code where a reference has to be exact.
Tables inside the document
Schedules of parties, conditions and modes sit in the document as tables, not as an attachment someone has to open separately.
Links that survive
A hyperlink to a policy or a schedule stays a link in every document raised from the template.
Templates, filed by category
Categories keep an engagement letter apart from a rental agreement, so the right starting point is found rather than searched for.
A document that never had a template
An existing PDF can be uploaded and sent for signature on its own — the template road is the common path, not the only one.
Half-finished work is kept
A document part-way through its questions is held as it is, so a long form can be picked up again rather than restarted.
A log on every one
Templates and documents each carry their own log, so who changed what, and when, is answerable later.
Who still has to sign, and by when
Signing is a queue you can look at, not a folder of emailed PDFs. Every document names who raised it, who has to sign, the deadline it is working to, and where it stands.
| Document | Initiated by | Deadline | Signing members | Status |
|---|---|---|---|---|
| Engagement Letter — Ramesh & Co.pdf | Aasha K | 31 Aug 2026 | 2 | Pending |
| Rental Agreement — Individual.pdf | Anil Kumar | 23 Aug 2026 | 1 | Completed |
| Engagement Letter — Sundaram.pdf | Tarun MR | 19 Aug 2026 | 2 | Completed |
| NDA — Consultant Onboarding.pdf | Aasha K | 12 Aug 2026 | 1 | Failed |
More than one signatory
A document can carry several signing members, so an agreement that needs two signatures is one workflow, not two chases.
A deadline on every one
Each document to be signed carries the date it is due, so what is slipping is visible before it is late.
Pending, completed, failed
A signature that did not go through is marked failed rather than silently missing, so it can be sent again.
Signed documents keep their own place, so what has been agreed is never mixed in with what is still waiting.
How a document will get agreed and signed
Write the template once
Draft the wording your firm stands behind, and mark every blank in it as a question — the date, the party, the amount.
Get the template approved
It goes through review and approval before anyone can use it, so no client document is ever raised from a half-finished draft.
Raise a document from it
Pick the approved template and answer its questions. Only the answers change; the wording around them cannot drift.
Get the document approved
The document runs the same maker-checker on your side before it leaves the firm.
Send it to the client to review
The client reads the document and agrees it — on the record, not in a mail thread.
It goes for signature
Once the client has agreed, the document goes out for signing, with every signatory and a deadline tracked until it is done.
What you gain by giving outsiders the right access
Work stalls waiting on people who are not on your payroll — a client who has not sent a document, a reviewer who needs a file, a prospect who has not signed. SyncDoc lets them in on your terms instead of over email.
Client staff
In every module
- Review the documents that concern them
- Sign what needs signing, in place
- See the version they agreed, kept on the record
- See what is waiting on their signature, without being chased for it
- Sign without printing, scanning or posting anything back
- See the approvals a document has already passed on your side
Agreement happens where the document lives, so nobody hunts through a mailbox for which draft was signed.
Lead users
SyncDoc only
- Review the engagement before they are a client
- Sign it without an account of their own
- Convert to a client in one click once signed
- See the terms in full before committing to anything
- Stay a lead on your records until they actually sign
- Arrive as a client with the signed engagement already on file
The deal closes inside the system. Nothing is re-keyed when a prospect becomes a client — the signed engagement is already on their record.
Guest access belongs to SyncCloud, where documents are stored and reviewed.
Everything SyncDoc does for you
14 capabilities
SyncDoc inherits the same controls as the whole suite
Roles + data access
Every user — employee, client staff, guest or lead — is governed by what their role allows and which data they may see.
Segregation of duties
The person who raises a change is never the person who approves it — across every module, not just this one.
Tamper-evident audit log
Who did it, what changed, when — recorded across every module, so nothing is quietly altered.
Encrypted & backed up
End-to-end encryption with regular backups, available around the clock.
SyncDoc — common questions
12 answered
That is the point of it. One approved template serves every client — only the answers to its questions change, so the wording your firm agreed is never retyped and never drifts between one engagement and the next.
Templates and documents each sit in one of six states — draft, requested, ready, modify, rejected or approved — and each list can be filtered to everything the firm holds or only what you raised yourself.
Yes. Templates are filed by category, so an engagement letter sits apart from a rental agreement and the right starting point is found rather than searched for.
It is marked failed rather than left silently missing, so it can be seen in the signing queue and sent again — alongside the ones still pending and the ones already completed.
The same role and data access that governs the rest of SyncOffice — approval sits with the people your roles say it sits with, and every decision is recorded against the item with who made it and when.

Every blank in a template is defined as a question — the date, the party, the amount. Raising a document means answering those questions rather than editing the wording, so the clause your firm agreed is the clause each client receives.
Yes. An existing PDF will be able to be uploaded and sent for signature on its own. The template route is the common path, not the only one.
It is marked Rejected rather than deleted, and one that needs changing goes back to Modify rather than being replaced by a new file — so the version everyone agreed remains identifiable.
Yes. A document can carry several signing members, with a deadline on the document and a status for each — pending, completed, or failed so it can be sent again.
No. A client contact will be able to review and sign what concerns them, and a prospect who is not yet a client can sign an engagement and be converted to a client in one click once it is done.
That's the design: maker-checker at every level, so the review chain lives with the document instead of in an email thread.
